What the Table of Abbreviations Should Do

The table of abbreviations at the front of a Malaysian postgraduate thesis serves as a quick reference for readers who encounter an abbreviation in the text and need to know what it stands for. For the table to serve this function, it must be complete, accurate, and consistent with the abbreviations as they appear in the main text. Proofreading your thesis table of abbreviations requires checking it against the main text in both directions — every abbreviation in the table should appear in the thesis, and every abbreviation used in the thesis should appear in the table.

Building the Verification List

The most reliable approach is to build a verification list during proofreading. Use the Find function in Microsoft Word to search for patterns that indicate an abbreviation: two or more consecutive uppercase letters not at the start of a sentence. Record every unique abbreviation you find. Then compare this list against your table of abbreviations. Any abbreviation present in the thesis but absent from the table is a missing entry that needs to be added. Any entry in the table that does not appear in the thesis is a ghost entry — perhaps a term that was planned but removed during revision — that should be deleted.

Also check the definitions in your table for accuracy. The full form of each abbreviation should match exactly how the term appears at its first introduction in the thesis text. If the text introduces “Ministry of Higher Education Malaysia (MOHE)” but the table lists “Ministry of Higher Education (MOHE)” without “Malaysia”, this is an inconsistency that needs resolution.

Alphabetical Order and Formatting

The table of abbreviations should be listed in strict alphabetical order by the abbreviated form — not by the full term, and not in the order in which abbreviations appear in the thesis. Check the alphabetical sequence carefully during proofreading, as entries added at different stages of writing are frequently inserted in the wrong position. Also check that the formatting of the table is consistent — the same column widths, the same font, the same alignment — and that the table fits within the margins of the page without text being cut off.

Some abbreviated terms in Malaysian theses include Malay-language institutional names and their English equivalents, or vice versa. For bilingual entries, decide on a consistent convention — whether to list the Malay abbreviation with a Malay definition, or to list the Malay abbreviation with an English translation — and apply it consistently across all bilingual entries in the table.

Standard Abbreviations That Do Not Belong in the Table

Not all abbreviations need to appear in the table. Standard abbreviations that any academic reader would know — “e.g.”, “i.e.”, “etc.”, “vs.”, “pp.”, “ed.”, “Vol.” — do not need table entries because they are universally understood and require no decoding. Including them adds length without adding value. The table of abbreviations is for discipline-specific and study-specific abbreviations that a reader might not know — acronyms for institutional names, methodology frameworks, instruments, and theoretical constructs used in your specific field.
