When Secondary Survey Data Appears in Malaysian Research

Secondary data analysis — using data collected by others for a different primary purpose and reanalysing it for your own research questions — is an increasingly common approach in Malaysian postgraduate research, particularly in education, public health, and social science where large-scale survey datasets are publicly available. Correctly citing the secondary data you used is important both for attribution accuracy and for methodological transparency — readers need to be able to locate the dataset you used and understand its original collection context.

Distinguishing Between Citing the Dataset and Citing Related Publications

When you use secondary survey data, two distinct citation obligations may apply. First, you must cite the dataset itself — the actual data file you downloaded and analysed. Second, if the dataset has an associated publication — a technical report, a journal article, or an official report that describes the survey methodology and initial findings — you may also need to cite this publication when describing the data source in your methodology chapter.

These are two separate references that serve different purposes. The dataset citation documents which data you used and how to access it. The publication citation provides methodological context for how the data was collected. In your methodology chapter, both may be appropriate: “Secondary data from the [Survey Name] (Survey Organisation, Year [Data set]) were used for analysis. Full details of the survey methodology are described in Survey Organisation (Year).”

Acknowledging Data Access Conditions

Some secondary datasets — particularly government microdata — are accessed through formal data-sharing agreements that impose conditions on use and attribution. When your dataset was accessed under such an agreement, check whether the agreement specifies mandatory acknowledgement language that must appear in any publication or thesis using the data. Include this mandatory language in your acknowledgements section and in the relevant citation. Failing to acknowledge data access terms when these are conditions of use is both a citation omission and a potential breach of the data access agreement that granted you access to the dataset.
